Front-desk script card

  1. 1Thanks for calling [SHOP]. What are you looking to book?
  2. 2I have [two options] that fit. The appointment is [time] with [team member].
  3. 3We take a [deposit amount] deposit to hold the time. It comes off your total when you arrive.
  4. 4If you need to move it, please let us know by [notice window] so we can offer the time to someone else.
  5. 5I’ll text the confirmation now. Reply YES so we know the time is set.

Deposit + cancellation

Deposit. A [deposit amount] deposit holds each booking. It is applied to your service, session, or job when you arrive.

Cancellation. Change or cancel by [notice window]. With less notice, the deposit stays with the shop because that time was held for you.

Say it plainly. We will always confirm the amount and the notice window before taking a deposit.

Follow-up texts

  1. 1Hi [first name] — it’s [shop]. You asked about [service]. I have [time option] open. Want me to hold it for you?
  2. 2Your [service] is set for [day] at [time]. Reply YES to lock it in. Your deposit is [deposit amount].
  3. 3Quick reminder from [shop]: you’re on for [tomorrow/time]. Need to move it? Tell us before [notice window].
  4. 4We have a spot open at [time] today for [service]. Want it? Reply OPEN and we’ll send the deposit link.
  5. 5Thanks for coming by today. If anything felt off, reply here and we’ll read it. If it felt right, a quick review helps the next customer find us: [review link].
  6. 6You’re due for [service] around [date]. Want the same [day/time] you had last time?
  7. 7We haven’t seen you in a bit. [Team member] has [two time options] next week if you want to get back on the book.
  8. 8Last call for [day] at [time]. We’ll release it at [release time] if we don’t hear from you.

Hiring the second person

Write the job before the job post.

  • Write the exact work the second person owns before posting a job.
  • Set the weekly hours and the busy windows they must cover.
  • Choose one paid working shift, not just an interview.
  • Hand them the front-desk script and deposit rule on day one.
  • Give them one scoreboard number to update every week.
  • Review the first two weeks against the written role, not a feeling.

Owner off the floor

One half-day, on purpose.

  1. 01Before you leave: confirm the day lead, the deposit rule, and the one number they text you at close.
  2. 02First hour away: do not answer routine booking questions. Note what comes up instead.
  3. 03Midpoint check: read one scoreboard update, not the entire message thread.
  4. 04Return: ask what stalled, what customers asked twice, and what script was missing.
  5. 05Close the loop: add one sentence to the script card before the next half-day.
